Subacademy partners with organizations of all sizes — from three-person outreach teams to state health departments with hundreds of staff. Our model is simple: free platform access for everyone, with optional organizational tools to manage team training at scale.

How organizational partnerships work

Individual staff can always sign up and use Subacademy on their own, free of charge. Organizational partnerships add a layer of coordination on top of that — giving administrators visibility into team progress without changing anything about the individual learning experience.

There is no minimum or maximum team size. We work with organizations enrolling 3 staff and organizations enrolling 300. The process is the same.

All 13 modules, assessments, and certifications for unlimited staff members. No per-seat fees, no user caps, no tiered pricing.

Team dashboard

A centralized view of all enrolled staff showing module completion status, assessment scores, and certificate records. Export progress reports for funders and compliance documentation.

Bulk enrollment

Add staff by email invitation or shared enrollment link. New team members are automatically connected to your organization's dashboard without any manual setup on their end.

Certificate management

View, verify, and export certificates across your entire team. Generate compliance reports showing which staff have completed which modules and when.

Priority support

Dedicated support contact for onboarding questions, technical issues, and platform feedback. Response within one business day for partner organizations.

Curriculum input

Direct channel to provide feedback on curriculum content, suggest improvements based on your field experience, and flag content that needs updating for your region or population.

What we ask from partners

Subacademy is free, and we don't place burdensome requirements on partner organizations. We do ask for the following:

Onboarding process

  1. Initial contact: Email us at hello@subacademy.org with your organization name, approximate team size, and primary contact person
  2. Setup (same day to 48 hours): We create your organizational account and provide you with an administrator login and enrollment link or invitation tool
  3. Staff enrollment: Share the enrollment link with your team or send email invitations directly from the dashboard. Staff create their own accounts and are automatically linked to your organization
  4. Ongoing: Monitor progress through your team dashboard, export reports as needed, and reach out to your support contact with any questions

Frequently asked questions for partners

Is there a cost for organizational accounts?

No. Organizational partnerships, including the team dashboard and all features described above, are currently free. We may introduce premium features for large enterprises in the future (SSO integration, custom reporting, LMS integration), but these would be optional additions — never requirements for access to the training itself.

Can we track individual assessment answers?

No. Organizational administrators can see module completion status, assessment pass/fail status, and scores, but not individual question responses. This is a deliberate privacy protection for staff. See our Privacy Policy for details.

Can we require staff to complete specific modules?

You can set internal requirements for your organization, and the dashboard makes it easy to see who has and hasn't completed specific modules. Subacademy itself does not enforce organizational requirements — that's up to your internal policies.

What if a staff member leaves our organization?

Their individual account and certificates remain theirs. You can remove them from your organizational dashboard, which revokes your visibility into their progress but does not affect their access to the platform or their earned certificates.

Can we use Subacademy content in our own training programs?

Subacademy content is copyrighted and cannot be reproduced, redistributed, or incorporated into other training materials without written permission. You are welcome to direct staff to Subacademy and to reference our curriculum in your own training plans. For licensing inquiries, contact legal@subacademy.org.
